How Owners and Property Managers Should Document a Plumbing Leak
Good documentation helps establish what happened, what was affected and what remedial work was required. It should support the response—not delay it.
For active water flow, alert building security/front desk first. Once immediate containment is underway, record the time discovered/reported, photographs or video where practical, affected rooms and finishes, communications with building personnel, plumber findings and invoices.
If multiple units are involved, note when the building or neighboring occupants became involved. Preserve any written finding identifying the source or cause.
For a vacation rental, also retain the guest's report and relevant communications. If costs may later be charged to a responsible guest or another party, contemporaneous documentation is substantially more useful than reconstructing events afterward.
